How does Health Check Work?

In our last blog post, we detailed the importance of conducting regular Health Checks. This week, we will take a look at the different ways that a Health Check can be done, as well as other factors that should be considered when evaluating your processes.

What is a Health Check?

To recap: Health Check is a process by which a specialist from TOPAZ shadows users and makes recommendations to improve usage of TOPAZ Elements software. This can include suggesting additional modules to fill a gap in productivity, updating to a newer version of the software, or identifying a need for additional training.

There are several situations in which a Health Check would be useful. In general, we recommend considering a Health Check if more than two years have passed since you transitioned to Elements, or more than two years have passed since your last training.

The process

Evaluation can be done a variety of ways depending on the needs of the organization. Generally speaking, there are two main ways in which a Health Check can be conducted: Holistically or One Module at a time.

Holistic Evaluation

A holistic evaluation would entail exploring the usage of each individual module. This requires core user participation to provide a complete picture of the workflow.

A series of meetings would be scheduled, in which users would detail their workflows in a guided process by the TOPAZ technician. This is the recommended approach as it identifies the most areas for improvement and maximizes the efficacy of the Health Check.

One Module at a Time

There are instances however where evaluating all processes holistically may not be the most feasible approach. Doing a full system analysis can be time consuming depending on the number of modules and users that are involved. If there is a suspected issue within a particular module or use-case, Health Check can be done in smaller sections with tighter focus.

While examining processes one module at a time can be quicker in comparison to the holistic approach, the tight focus may not catch issues that arise due to errors happening between modules.

Is health Check right for you?

As your organization grows over time, taking the opportunity to refresh and improve your workflow can save you hundreds of hours in lost productivity.
